RSVP Wording Examples: Invitations & Reminders to Copy

The right wording does two jobs: it makes responding feel like a ten-second favor instead of a chore, and it lets you nag politely when half the list goes silent. Copy anything below and swap in your details. Three rules apply to all of it: always give a deadline, always say where to respond (one link beats “let me know”), and keep the ask shorter than the invitation.

Invitation wording

Casual (text or group chat)

🎉 We're throwing a birthday cookout for Dad's 60th! Saturday, June 13, 2–6pm at our place. Tap here to RSVP (takes 10 seconds, no app needed): [your link] Please reply by May 30 so we know how much food to make!

Family reunion

The three reminder escalations

Most people who haven't answered aren't declining — they're busy. Escalate warmth, not guilt. (Better still, let the first two rounds send themselves and save your energy for round three.)

Round 1 — the friendly nudge (2 weeks before deadline)

Hi! Quick reminder to RSVP for [event] by [deadline] — takes 10 seconds: [your link] Already replied? You're all set, thank you! 🙌

Round 2 — the countdown with momentum (a few days before)

RSVP closes [deadline]! 🎉 We're at [42] confirmed so far and finalizing food this weekend — make sure your crew is counted: [your link]

Round 3 — the personal ask (after the deadline, direct message)

Hey [name]! Putting the final numbers together for [event] and I'd hate to miss you — can you let me know either way today? Here's the link: [your link]. Even a "can't make it" helps me plan. ❤️

Asking for the details you need

Plus-ones

Bringing family? Wonderful — just include everyone in your party when you RSVP so we can count seats (and burgers) correctly.

Meal choice / allergies

When you RSVP, pick your plate (chicken, fish, or veggie) and note any allergies — the kitchen wants to feed everyone safely.

The gentle “no-shows cost money” framing (paid events)

We're charged per confirmed guest, so please only RSVP yes if you're able to make it — and update your RSVP at the same link if plans change. Thank you!
